Employee expenses

Receipts in pockets become expenses in your books.

Your team snaps the receipt and AI fills in the rest — amount, date, merchant. It lands on the company's Expenses tab for approval, and reimbursement pays straight to each person's own bank account. No spreadsheets, no email chains, no shoebox.

  • Anyone can submit, without joining the company — add an employee by email and they only ever see their own expenses and statuses, never your bills or books. Teammates submit from the same tab.
  • Mileage that prices itself — they enter miles driven, you set the per-mile rate once (the IRS standard rate is a good default), and the math is done live. No receipt needed.

Partner distributions

Partners in the business? Draws that pay themselves out.

Save your partner list once — names, emails, ownership — and each distribution is one screen: enter the total, split it pro rata or type each partner's amount by hand, and send. Money goes by bank transfer from the company's account straight to each partner's own bank, or record wires and checks you sent yourself.

  • Any split, any round — pro rata is a starting point, never a rule. Adjust any partner's amount, or skip a partner entirely this round.
  • Not expenses, and never mixed in — distributions are equity draws, so they live in their own tab inside the company and stay out of your bills, spending reports, and QuickBooks.

Contractors — 1099s & COIs

Tag the vendors you pay as contractors and the platform keeps score all year: what you've paid each one, their W-9s, their insurance certificates — so year-end is a download, not a shoebox.

  • W-9s that collect themselves — one click emails the contractor a secure online W-9. They fill it in with no account; tax IDs are encrypted, and their classification even tells you who's a corporation (usually no 1099 needed).
  • Totals your accountant can trust — per-year payments per contractor, with card payments excluded automatically (those belong on the processor's 1099-K, not your 1099-NEC), flagged once someone crosses the reporting threshold.
  • Certificates of insurance, current — request a COI through the same kind of secure link, see valid / expiring / expired at a glance, and get emailed 30 days before any certificate lapses.
  • Year-end in two downloads — a CSV for your accountant or e-file service, and recipient-copy 1099-NEC PDFs per contractor. A readiness card on Reports rolls every company up: who's flagged, which W-9s are missing, which COIs lapsed.

Work orders

From "it's leaking" to fixed, billed, and filed.

Tenants report issues with photos, you approve and assign, and contractors work every job from their own free account — one password and they're in. The final bill links itself to the order, so every repair ends up costed and filed. Built for rentals, and every company folder gets the same tab for its own repairs and jobs.

  • Tenant requests, triaged — tenants report from their rent folder with photos and urgency (emergencies flagged 🚨). Nothing becomes a work order until you review it, and tenants are emailed at every step — but never shown costs.
  • Sealed-bid proposals — invite contractors to bid with one click, insurance status right in the picker. Each bidder is emailed privately and never sees anyone else's number; accepting a bid assigns the job at that price, and the rest are notified for you.
  • Cost control built in — pre-approve a not-to-exceed amount, or require an estimate before work can start. Costs are real bills linked to the order, contractors can bill in draws against the approved amount, and anything over it is flagged.
  • One password and contractors are in — their email is already set up, so joining is just choosing a password. Their Work orders tab collects every job and proposal request across all their clients, with one-click invoicing that pre-fills what's left to bill.

Questions, answered

Can it pay out partner distributions?

Yes. Each company has a Distributions tab (owner and co-owners only): save the partner list once, then distribute any amount — split pro rata by ownership or enter each partner's amount by hand. Partners are paid by bank transfer straight to their own accounts, or you can record wires and checks made outside. Distributions are equity draws, so they never appear in bills, expense reports, or QuickBooks.

I manage rental properties — can it collect rent?

Yes. The opt-in property management module keeps a rent roll per property, reads leases with AI, invoices tenants monthly (card or ACH), prorates mid-month move-ins, adds late fees after your grace period, tracks security deposits, and applies lease increases only after you confirm them. Occupancy, collections, delinquency, and deposit reports are built in.

Is BillBetter.AI really free?

Yes. Every platform feature is free — unlimited bills, invoices, teams, and folders. The only charges are per-transaction fees when you choose to pay or get paid online (2.99% card, 0.99% ACH capped at $1), and vendors can pass those to the payer. Bills you pay outside the platform are recorded free.

Do my customers or vendors need an account?

No. Invoices arrive by email with a secure payment link — customers can view and pay without signing up. Vendors you record bills from never need an account either, though inviting them unlocks online payment.

Is my data safe?

All payments run through Stripe — card and bank numbers never touch our servers, and we never hold your funds. Traffic is encrypted, passwords are hashed, and optional two-step sign-in is built in. The full picture is on our security page, including a briefing your IT department can review.

Does it work with QuickBooks?

Yes — connect QuickBooks Online once and your bills, payments, and invoices post to your books automatically. No double entry.

Can my team use it?

What if we pay by check or Zelle?
